About the team:

Critical Facilities  provides data centers that are physically secure, environmentally sound and highly functional. Along with other end-user and technical operations, the Enterprise Technology organization provides managed hardware, server, storage, authentication and DNS services to customers. The critical facilities team has two roles: managing the physical environment of the data center, its assets, and providing decommissioning/remediation support as directed by the platform and/or network operations team.

 Station:

The Data Center  Manager is the primary point of contact and is responsible for all data center services provided by Critical Facilities in New York and New Jersey. This role leads, directs or acts as a liaison with relevant teams to deliver all critical facility services; supplier management, mechanical, electrical, compliance (MEP) and fire safety (FLS), physical security, facility operation and service delivery (FOSD), logistics (transportation, receiving and storage), e-waste, media destruction and data center design consultancy. This position is responsible for understanding and authorizing  maintenance and service operations for all data center infrastructure components, including compliance with company employee safety guidelines. This role is responsible for uniform availability of all hosted IT equipment by enforcing standard installation protocols for redundancy and versatile use of power, cooling and networks. This position must possess and maintain strong business and financial acumen as this position is responsible for all aspects of budgets, forecasts, performance and 10-year plans.

 What you do:

•  The Server Center Site Manager works with critical facilities, customers, peer groups, and works on independent projects as assigned. Responsibilities include:
•  Support of the Enterprise Technology customer base and  Enterprise Technology team members
•  Provider and contract management (local service providers and service providers)
•  Financial management – annual action plan (budget),  proposals, tenders, purchase orders, invoices, periods and forecasts
•  Conduct monitoring, auditing and reporting
•  Records management – creation, maintenance and retirement of policies, procedures, processes, tool data
•  Manage and provide 2x7x365 FOSD services (installation, modification, decommissioning, repair and accident assistance)
•  Logistics management (shipping, receiving and warehousing)
•  Provide on-call support and 1-hour on-site response to events or support issues
•  Diagnose, document and address technical issues using the Enterprise Technology ticketing system

 Must be:

•  5 years data center support; knowledge and practical experience in data center infrastructure systems including power, cooling, fire protection, physical security, cabling, infrastructure and IT equipment installation and environmental monitoring.
•  Server center infrastructure management tools, IT equipment installation, general application and system support
•  Must be willing to work  weekends and holidays

 what are you doing

•  Manage calendars and travel, plan and coordinate meetings, hold cross-departmental planning sessions, prepare  presentations and other important events.
•  Incoming calls, emails and/or meeting requests and correspondence to the SVP are displayed, scrolled and prioritized. Interact with partners, internal managers and filmmaker managers to coordinate VP meetings  in a timely and efficient manner while maintaining a high level of professionalism.
•  manage and track expense reports and receipts; regularly reconcile the company’s credit card accounts.
•  Assists with all general administrative functions such as posting, filing and organization (both digital and physical).
•  Monitor and maintain a departmental absence calendar so that the entire department is aware of travel.
•  Update  documents with critical information in real time. Greet all institutional guests  and manage their activities  on campus.
•  Work closely with  other EAs and departmental coordinators to schedule cross-departmental meetings and essential office-related maintenance activities:
•  Order office supplies and keep the department supply area well stocked.
•  Assists in planning and coordinating extra-departmental events, special events, etc.
•  Ensure all departmental IT needs are met and/or supported.
•  Maintain and organize files and records (ie NDAs and invoices). Preparation of the meeting, including preparation  and distribution of the agenda; makes copying, eating, and cleaning up presentations easy. Test and determine all room IT needs.
•  Assist with  special projects as needed.

 What we are looking for

•  We expect a bachelor’s degree or equivalent work experience.
•  We expect 3 years of experience in the entertainment industry as an Executive Assistant. Experience in office work is beneficial.
•  Demonstrates professionalism and ability to maintain the highest level of confidentiality; it is essential in this role.
•  Ability to shift priorities  to rapidly changing circumstances, remain flexible, calm and focused while multi-tasking at a very fast pace.
•  Excellent communication skills both written and verbal, able to effectively and efficiently interact with all  management, leadership, HR and talent.
•  Strong note taking is required. Excellent organizational and communication skills are required.
•  Ability to work independently and take responsibility for special projects.
