Full Job Description:
This position is responsible for providing administrative support to 2-3 Vice Presidents of the Amex Digital Labs team. This position is an integral part of a dynamic and fast-paced team that requires seamless collaboration and coordination across multiple companies and groups. The ideal candidate must have experience in a variety of management roles, an interest and passion for supporting managers, and the ability to work confidently and independently. This role also includes broader responsibilities to assist VPs in team management, which may include assisting with team budget management, training and development programs, and other events and strategic initiatives.

Responsibilities include, but are not limited to:
- Coordinated calendar management that guides the company’s senior executives, distributed and across time zones. Organizing meeting rooms, video and audio conferences and coordinating team meetings, off-site, activities and other events.
- International/US travel reservations with knowledge of Amex travel booking tools, preferred providers and related policies. Create routes and prepare for alternates.
- Ensuring timely preparation and processing of consumer reports; review expenses sent to manager and highlight political expenses; tracking and processing invoices.
- Assist with timekeeping and payroll. Organize and coordinate activities related to the municipal hall and other staff activities and events with other executive assistants
- . Ad hoc administrative tasks including: updating organizational charts, updating distribution lists, updating PowerPoint documents and/or creating PowerPoint slides, updating/editing MS Word documents, comfort with data processing and basic analysis.
- Retrieving standard reports and employee data from HR systems.
- Working with the team to manage training and development activities
- Promote team culture through events, social gatherings and strategic initiatives

- Strong computer skills in MS Office applications (eg Word, PowerPoint, Excel) and Outlook.

- Proficiency with American Express applications including (but not limited to) AmexMeet, WebEx, Concur Expense Management, Ariba Buyer, MyHR, Payroll, CareerTrack and IT Services Directory (TechCare) preferred.
